Policies
How We Work, in Writing
Plain-language policies for patients, families, agents and partners. If anything here is unclear, write to us at care@bookmedtrip.com and a person will answer.
- Terms of serviceThe agreement between you and BookMedTrip: what we do, what we don’t, and how bookings work.
- Privacy policyWhat we collect, why, who we share it with (only the doctors and hospitals you choose) and your rights under India’s DPDP Act.
- Refund & cancellationThe $99 consultation, when it is refunded in full, and how cancellations of travel and stays work.
- Service deliveryHow and when each service is delivered — online consultations, documents, travel and on-ground help.
- Medical disclaimerBookMedTrip arranges care; registered doctors and hospitals give it. What that means for you.
- Agent code of conduct & verificationHow every agent is checked before, during and after joining — and the promises they make to patients.
- Welcome for allNo one is treated differently for their colour, religion, caste, sex, sexuality, nationality or means.
- Care Fund & Pay If You CanWhere 10% of our net profit goes, who it helps, and how contributions from anywhere are handled.
Agent Code of Conduct & Verification
Applies to every BookMedTrip agent, everywhere. Last updated 11 October 2026.
1. Who an Agent Is
A BookMedTrip agent is an independent person or organisation who helps patients in their own country reach BookMedTrip. Agents recommend our services; they are not doctors, they do not give medical advice, and they never handle a patient’s treatment money on our behalf.
2. How We Verify an Agent
- Identity: a government photo ID and a selfie, checked for authenticity and for a match.
- Bank account: any payment to an agent goes only to an account in the agent’s own name, checked against the ID.
- Background: a CV, two references, sanctions screening and, where available, police clearance.
- Interview: a video call about this code, then a unique agent ID (BMT-XX-XXXXXX) and portal access with two-step sign-in.
- Ongoing checks: a full re-check every two to three months, and surprise background checks in between.
Verifying one agent costs us between US$5 and US$50. Applicants pay a 99-cent application and background-check fee: every agent we take on costs us money to verify, interview and train, so the fee is small but not free, and it shows the applicant is serious. Anyone who cannot pay it can join through the Care Fund instead. Everything happens online. We do our very best, and we are honest that no check is perfect: if anything about an agent looks wrong, tell us and we act at once.
3. What Every Agent Promises
- Respect for every patient, and no discrimination of any kind (see Welcome for all).
- No medical advice, no promises of results, and no pressure to choose a treatment, doctor or hospital.
- Honest fees: an agent never charges a patient anything on BookMedTrip’s behalf. Our prices come from us, in writing.
- Privacy: patient details are entered only in the agent portal, never shared, sold or kept on personal devices longer than needed.
- Always show your agent ID when asked. Patients can check any ID on our Find an agent page or by WhatsApp.
4. Not a Pyramid Scheme
Agents never recruit other agents, never earn from other agents, and never pay to earn. There are no levels, no targets to buy into and no stock to hold. An agent simply recommends BookMedTrip — a team of service providers here for the long run — to people who need care.
5. If Something Goes Wrong
Patients and partners can report an agent at any time on WhatsApp +91 95179 95573 or at care@bookmedtrip.com. We pause the agent’s listing while we look into it, and remove anyone who breaks this code.
Welcome for All
Our non-discrimination policy, for patients, families, agents, partners and our own team.
BookMedTrip does not treat anyone differently because of their colour, race, ethnicity, nationality, religion, caste, sex, gender identity, sexual orientation, disability, age, language or ability to pay. This applies to every booking, every message, every agent and every partner we work with.
- African patients and families: we know some have avoided India because of racism. We choose hospitals, hotels and drivers who share our values, and a coordinator stays with you throughout. If anyone treats you badly, tell us — we will act and, where needed, move you.
- LGBTQ+ guests: you and your partner are welcome, and your privacy is protected. We will tell you honestly about local laws and customs so you can travel with confidence.
- Every faith: halal, Jain, vegetarian and vegan food; prayer times respected; sacred journeys for every tradition.
- Accessibility: step-free rooms, wheelchair-accessible vehicles and interpreters on request.
Partners and agents who break this policy are removed. To report anything, use WhatsApp +91 95179 95573 or care@bookmedtrip.com.
Care Fund & Pay If You Can
How our giving back works.
- 10% of net profit, in total: shared between the Care Fund and Daughters of the Himalaya, our programme for the women and girls of remote mountain villages. It is one commitment, not more.
- Who it helps: patients from any country in genuine need (reduced or waived BookMedTrip fees, and help finding charitable support); a helpline for people in India who cannot afford basic healthcare; women’s hygiene products through local partners and self-help groups.
- Pay If You Can: if you genuinely cannot afford our own fees, tell us. We decide case by case. Hospital bills are set by hospitals, not by us.
- Open to the world: anyone, anywhere, can contribute from day one — money, skills or time. A contribution is a gift, not a financial investment: it pays no returns.
- Accountability: every contribution is recorded, and we report back on what it did.
